The product that closes
the last 100 metres of governance.

Every approved document, in every hand, with proof it landed.

MyStaff puts your governed library on every phone, desktop and QR code — including the bank, agency and night-shift staff who never had a login — and records who read which version.

Built and operated by Diligram. Developed with the NHS since 2021.

The product

One governed library, from approval to the ward.

MyStaff is the whole journey of a controlled document: authored or imported, approved by name, distributed to exactly the people it applies to, acknowledged per person against the version in force, evidenced for any inspector — and withdrawn everywhere, including the QR code on the equipment, the moment it is superseded.

A member of staff scrolling the Organ and Tissue Donation Policy in the MyStaff app on their phone
On every phone

Find it in seconds — even on a first shift.

A member of staff opens one app and sees only what applies to them: their organisation’s policies and procedures, external guidance, patient information leaflets, favourites and what changed recently.

  • Search by keyword or reference ID — no folder trees
  • External sources alongside your own library
  • Works offline; a copy carries its version and last-synchronised date
MyStaff dashboard: percentage of compliance in red, amber and green, document views, and a critical actions list by site and division
For the governance team

Compliance, live — not assembled before the visit.

Red, amber, green by division and site; every critical action with its owner and its deadline; overdue counts trending against the previous month. The dashboard is the audit trail, ready on the day an inspector asks.

  • Percentage of compliance across the whole estate
  • Critical actions: what is overdue, where, by how long
  • Audits due in the next 7 and 14 days
Beyond the read receipt

Competence, evidenced.

Quizzes and certificates sit on top of the document, so the record shows not only that a change was received but that it was understood — per person, with a verification number on every certificate.

  • Mandatory reads with reminders and escalation
  • Quizzes set against the version in force
  • Certificates, verifiable online, downloadable as PDF
MyStaff Certificate Manager: a member of staff's training certificates with verification numbers, shown on a desktop monitor
The MyStaff document tracker on the desktop: compliance rate, non-compliant documents with risk levels, and review dates falling due
Nothing quietly expires

Review dates, tracked to the document.

Every document carries its review date. The tracker shows what falls due in 30 days, three months and six months — and what is already non-compliant, at what risk level — so renewal happens on schedule, not after an audit finds it.

  • Compliance rate across the library, live
  • Non-compliant documents flagged with their risk level
  • Due dates bucketed: 30 days, 3 months, 6 months

Straight from the product.

Not renderings — the screens staff and governance teams work with every day.

MyStaff on the desktop: search and document tiles including NICE guidance and the Royal Marsden Manual
The same library in the browser — your own documents beside NICE guidance, the Royal Marsden Manual and other external sources.
Patient Group Directions managed in the MyStaff web application
Governance teams manage every specialised library from the desktop, staff open it on the ward.
A MyStaff point-of-use QR label on an infusion pump service panel: scan for the user manual, cleaning SOP and drug library policy attached to this device
The code on the machine itself — scan it and the manual, SOP and policy attached to this exact device come up. Withdraw a version centrally and the code serves the new one; the label reprints itself when its documents change.

At the point of care — the governed document, in the hand that needs it, in the minute the decision is made.
Patients

Leaflets, without the paper

Staff send the approved patient information leaflet straight from the app, by QR code or email. Nothing can be added to the text on the way out, and patient details never reach us.

Point of use

A code on the machine itself

Scan the QR on an infusion pump, a ward noticeboard or a plant room door and the documents attached to it come up. Departmental QR posters generate themselves.

Everything else

Onboarding, learning, announcements

The same controlled library carries induction packs, training with quizzes and certificates, and staff communications — with the same per-person evidence underneath.

Nothing is migrated and nothing is re-platformed. MyStaff connects through standard single sign-on and APIs to the systems you already run. Bulk ingest puts an existing library in front of staff in a day, and the AI indexes every document as it lands — it helps people find the approved document, and does nothing else with it.

See it live

Five minutes, in their own words.

No demo theatre. A customer telling their own story, and MyStaff presented to NHS executives at the House of Commons.

Industries

Proven in healthcare. Ready beyond it.

Healthcare is where controlled documents are hardest — the most content, the most turnover, the least desk time. MyStaff runs there today. The engine underneath is the same in any regulated sector.

Live today

Healthcare

NHS acute, community and mental health services, UK private hospital groups and retirement living — including workforces where clinicians hold practising privileges rather than contracts of employment.

Regulated

Pharmaceutical & manufacturing

Which work instruction governed that line on that shift, who was working to it, and what happened to the superseded version — provable, not asserted.

Regulated

Finance & education

Whether the desk was working to the current policy before the transaction; whether every member of staff saw the safeguarding update — and the record to show it.

Three factory workers on a production floor reviewing a work instruction on a tablet
The same discipline on the factory floor — which work instruction governed that line, on that shift, and who was working to it.
Beyond healthcare

The same engine, in any regulated colours.

Standing orders, medical and health protocols, training and doctrine, HR and security policies — the categories change, the discipline does not: one governed library, distributed to exactly the people it applies to, with proof of receipt underneath.

A MyStaff home screen configured for a defence-grade organisation: SOPs and standing orders, protocols, training and doctrine, HR and security policies
Security

A Diligram product, with Diligram’s assurance behind it.

MyStaff is built and operated by Diligram Limited. The full security and data-protection position — and the assurance pack behind it — lives on the corporate site.

NHS DSP Toolkit — Standards Exceeded, three years running Cyber Essentials Plus ISO 27001‑aligned controls AWS — London for the UK, in-region elsewhere No patient data required
The MyStaff platform suite: app, analytics, patient solutions, agent, core automation and intelligence, compliance and policy management
One platform, a modular suite — the MyStaff app is the frontline face of an engine built for governed content end to end.
